Documents Required for School Admission

Prepare the common identity, birth, address, academic and transfer documents schools may request during admission.

School admission involves more than filling out an application form. Most schools ask parents to submit documents to verify the child's identity, date of birth, address, previous academic record and eligibility.

Requirements can vary by school, class, board, state and admission category. Always check the individual school's instructions before submitting documents. For example, some CBSE admission situations require a School Leaving Certificate or Transfer Certificate, proof of the qualifying examination and proof of date of birth.

Why do schools require admission documents?

Documents help a school confirm the information provided in an application and maintain accurate student records. They may verify identity, age eligibility, previous academic history, previous school attendance, class eligibility, parent information, residential address, special categories and relevant health information.

For students transferring from another school, previous academic records and a Transfer Certificate or School Leaving Certificate can be particularly important. Follow the current school and board instructions rather than relying on a generic checklist alone.

1. Birth certificate

A birth certificate is commonly used to verify the student's full name, date of birth, place of birth, parent information and age eligibility. Parents should check that the name and date of birth match the admission form and other official records.

2. Identity and address documents

A school may request an accepted identity document for the student and parent or legal guardian. It may also ask for address proof to maintain records, plan transport, meet local requirements or verify application information. The exact documents accepted vary by institution and jurisdiction.

3. Photographs

4. Previous academic records

Students entering a new school after completing one or more classes may need a previous report card, marksheet, progress report, examination result or qualifying examination certificate. These records help the school determine academic status and eligibility for the requested class.

For higher classes, confirm whether the school needs proof of passing the previous class, board details, subject information or additional academic certificates.

5. Transfer Certificate and School Leaving Certificate

A Transfer Certificate confirms that a student has left the previous school and provides relevant academic and administrative information. It is commonly relevant when changing schools, moving cities, changing boards or transferring after completing a class.

Depending on the school or education system, a School Leaving Certificate may be requested instead of or alongside a Transfer Certificate. Check the wording used by the new school and verify the student name, date of birth, last class, academic details, admission number, date of leaving and required signatures.

6. Qualifying examination and migration documents

For some classes, schools require proof that the student completed the previous qualifying class or examination. This could be a marksheet, passing certificate, report card or other recognised academic proof.

A Migration Certificate may be relevant when moving between certain boards or educational systems, but it is not automatically required for every admission. Ask the new school whether it is needed before applying for one.

7. Medical, category and support documents

Depending on school policy, health documents may include a medical fitness certificate, vaccination record, blood group, medical history or emergency information. Provide only what the school requests, while communicating safety-relevant information accurately.

Where applicable, a school may request category, reservation, EWS, disability or other support documentation. Requirements depend on the state, school type, class and admission category, so check the official notice.

International students or students transferring from outside India may need passports, visa or residency documents, previous school records, transfer documents, academic certificates and equivalence or eligibility documents.

8. The admission application form

The admission form becomes part of the student's official record. Complete student details, parent or guardian information, address, emergency contacts, previous school, class, academic information and any medical or transport details carefully.

Keep names, dates of birth, parent names, addresses and previous school details consistent. If one document says “Aarav Sharma” and another says “Aarav Kumar Sharma”, ask the school whether a correction or supporting document is needed before final submission.

Original documents, photocopies and digital copies

Schools may ask parents to bring originals for verification and submit photocopies or digital copies for records. A practical preparation method is to make three sets:

Documents by class and situation

Pre-primary and primary

Birth certificate, identity proof, parent or guardian documents, address proof, photographs and school-specific application documents. State or local rules may also affect age eligibility.

Middle school

Previous report card, Transfer Certificate, School Leaving Certificate where applicable, proof of the previous class and other school-specific records.

Class IX

Academic records and evidence of completing Class VIII from a recognised institution, along with transfer documents where applicable.

Class XI

Class X marksheet, passing certificate where applicable, previous school records, Transfer Certificate and board or subject-selection documents.

What if a document is missing?

Do not wait until the final deadline. Contact the admission office, explain the situation and ask for the correct procedure. The school may accept an undertaking, alternative proof, provisional document, duplicate document or corrected document later.

  1. Contact the school and ask exactly what alternatives are accepted.
  2. Explain whether a correction, duplicate, transfer or previous record is pending.
  3. Follow the school's written process and submission deadline.

Never submit altered or misleading documents. Admission records should be accurate.
