Privacy policy

This policy explains how Skolzo ("we", "us") processes personal data. It should be read with our terms and conditions. This summary is not legal advice; schools may have additional obligations under education and child-protection rules.

1. Who we are

Skolzo provides a public school directory, admission inquiry tools, and cloud software for schools in India (CRM, ERP, communications, and related features). For privacy enquiries, contact us via our contact page or hello@skolzo.com.

2. Roles: controller and processor

• Website and directory visitors: Skolzo acts as a data fiduciary (controller) for account signup on skolzo.com, marketing preferences, cookie choices, and data we collect to operate the public site.
• School workspace data: subscribing schools typically determine purposes and means for student, parent, and staff records they enter or import. Skolzo processes that data on the school's documented instructions to deliver the Services.
• Admission inquiries: when a parent submits a form to a school via Skolzo, the school is primarily responsible for follow-up and admissions decisions; Skolzo processes the submission to route and display it to authorised school users.

3. Personal data we collect

Depending on how you use Skolzo, we may process:

• Identity and contact: name, email, phone, job title, school name, and similar details you provide.
• Account and authentication: login identifiers, password hashes, MFA settings, session tokens, and verification records.
• Inquiries and CRM data: lead forms, call/SMS/email metadata configured by schools, notes, tasks, and communication history within tenant workspaces.
• Student and operational records: data schools choose to store in ERP modules (for example attendance, fees, academics, transport) as configured by the school.
• Directory and favourites: saved schools, compare lists, alert preferences, and public profile fields schools publish.
• Payment and billing: subscription status, invoices, and transaction references; card or UPI details are handled by payment partners, not stored by Skolzo as full payment credentials.
• Technical and security: IP address, device/browser type, audit logs, error reports, and anti-abuse signals.
• Optional analytics: usage events when you accept non-essential cookies on skolzo.com (see Section 9).

We ask you not to submit special-category or sensitive personal data unless the Service explicitly requires it and you have a lawful basis to do so.

4. How we use personal data

We process personal data to:

• Provide, secure, and maintain the Services you or your school request.
• Authenticate users, enforce access controls, and prevent fraud or abuse.
• Route admission inquiries and notifications configured by schools.
• Bill subscriptions, directory placements, and usage-based features where applicable.
• Improve reliability, support customers, and develop product features.
• Comply with law, respond to lawful requests, and protect rights and safety.
• Send service-related messages; marketing messages where permitted and with opt-out where required.

We rely on contractual necessity, legitimate uses permitted under applicable law (including India's Digital Personal Data Protection Act, 2023 where it applies), consent where required (for example optional cookies), and legal obligations.

5. Sharing and subprocessors

We may share personal data with:

• Schools you interact with (for example inquiry forms you submit to a listed school).
• Infrastructure and tooling providers that host, monitor, email, SMS, telephony, analytics, or support the platform under confidentiality and security obligations.
• Payment processors (for example Razorpay) for checkout and subscriptions.
• Professional advisers where needed for compliance, security incidents, or corporate transactions subject to confidentiality.
• Authorities when required by law or to protect users and the platform.

We do not sell personal data. We do not share it for third-party advertising unrelated to Skolzo.

6. International processing

We design for Indian schools and may use cloud regions and vendors in India and elsewhere. Data may be processed outside your state or country where necessary to operate the Services. Contractual and technical safeguards are used commensurate with the sensitivity of the data. India-only residency is available only if expressly agreed in your school contract.

7. Retention

We retain personal data for as long as needed to provide the Services, meet legal and accounting requirements, resolve disputes, and enforce agreements. Schools may export or delete tenant data according to product capabilities and their retention policies. Backup copies may persist for a limited period before automatic deletion.

8. Security

We use measures such as tenant isolation, role-based access, encryption in transit, encrypted storage for integration secrets, audit logging, and optional MFA. No method of transmission or storage is completely secure. See our security overview for a factual summary of controls.

9. Cookies and similar technologies

Essential cookies (and similar storage) are used for authentication, security, load balancing, and remembering cookie-consent choices.

Optional cookies may be used for analytics and to improve search relevance on skolzo.com only if you choose "Accept all" on the cookie banner. Choose "Essential only" to decline optional cookies. You can clear cookies in your browser; essential cookies may be required for signed-in features.

We store your banner choice in local storage and a consent cookie (sk_cookie_consent) for up to 180 days.

10. Your rights

Under applicable law (including the Digital Personal Data Protection Act, 2023 for data principals in India), you may have rights to access, correction, erasure, grievance redressal, and to withdraw consent where processing is consent-based. If your data reached Skolzo through Facebook, Instagram, WhatsApp, or other Meta products, see our user data deletion instructions.

• Directory and skolzo.com accounts: contact us via /contact-us or hello@skolzo.com.
• School-held records: contact the school first; schools can use in-app trust and data-subject tools where available.

We may need to verify your identity before responding. We will respond within timelines required by law where applicable.

11. Children and students

The public directory is intended for parents, guardians, and adults. School software may process student data under the school's authority. Schools must obtain appropriate consents and follow applicable education and child-protection laws. If you believe a child's data was submitted to us without appropriate authority, contact us and we will take reasonable steps to assist.

12. Marketing and notifications

You may receive product updates, directory alerts, or school-configured messages based on your settings. You can adjust notification preferences in your account where available or unsubscribe from marketing emails via the link provided. Service-critical messages (for example security or billing) may still be sent.

13. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top will change when we do. Material changes affecting school customers may be communicated through the product or by email where appropriate.

14. Contact and grievances

For privacy questions, data requests, or to report a concern, contact us via our contact page or hello@skolzo.com. If you are not satisfied with our response, you may have the right to lodge a complaint with the Data Protection Board of India or other competent authority as provided under applicable law.
